Responsibilities
- Office Operations: Receive, sort, and distribute incoming mail and communications to appropriate departments and personnel in a timely manner.
- Record Keeping: Maintain accurate and up-to-date electronic and physical records of departmental activities, files, and reports.
- Customer Service: Greet visitors and answer multi-line phone systems professionally, directing inquiries to the correct staff member.
- Data Entry: Perform routine data entry tasks using government databases and office software to ensure data integrity.
- Meeting Support: Assist in preparing agendas, taking minutes, and arranging conference rooms for internal staff meetings.
- Inventory Management: Assist with tracking office supplies and equipment to ensure the department remains fully operational.
Qualifications
- Education: High School Diploma or GED equivalent required; Associate’s degree or coursework in Business Administration preferred.
- Experience: No prior professional experience required; we value attitude and aptitude.
- Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and ability to learn new government software quickly.
- Communication: Excellent verbal and written communication skills with the ability to interact professionally with the public and government officials.
- Organization: Strong organizational skills with the ability to manage multiple priorities and meet strict deadlines.
- Integrity: Ability to maintain strict confidentiality and adhere to government regulations and protocols.
