Responsibilities
- Manage and process incoming mail, emails, and internal correspondence with high accuracy during weekend hours.
- Maintain and organize official records and files in compliance with local government retention policies.
- Assist visitors and walk-in customers with inquiries, providing excellent customer service and directing them to the appropriate departments.
- Perform data entry and update databases using the City’s management information systems.
- Prepare and compile weekly or monthly reports, ensuring all data is verified and error-free.
- Assist in the preparation of agenda packets and meeting materials for weekend administrative sessions.
- Perform general office duties including answering phones, filing, and photocopying.
Qualifications
- High School Diploma or GED required; an Associate’s degree in Business Administration or Public Administration is preferred.
- Minimum of 1-2 years of experience in an administrative, clerical, or government office environment.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and ability to learn new proprietary software quickly.
- Must be available to work weekends (Saturday and Sunday) on a regular schedule.
- Strong verbal and written communication skills with the ability to interact professionally with the public and staff.
- Ability to maintain strict confidentiality regarding sensitive government information.
