Responsibilities
- Official Records Management: Oversee the creation, maintenance, and archival of all official city documents, ordinances, resolutions, and meeting minutes with strict adherence to legal standards.
- Meeting Administration: Coordinate logistics and prepare agendas for the City Council and various boards and commissions; ensure accurate minute-taking during proceedings.
- Public Records Compliance: Manage the Texas Open Records Act (TORA) requests, ensuring timely and accurate responses to the public regarding city records.
- Citizen Services: Serve as the primary liaison for citizen inquiries, providing accurate information regarding city policies, procedures, and departmental functions.
- Operational Oversight: Supervise and support the daily operations of the Clerk’s Office, including the management of staff, budgeting, and procurement of office supplies.
- Legal Compliance: Ensure all office practices comply with federal, state, and local laws, including the Texas Local Government Code.
Qualifications
- Education: High School Diploma or GED equivalent required; Associate’s degree in Public Administration, Business, or related field is preferred.
- Experience: Minimum of 3 years of progressively responsible experience in a municipal office, government administration, or a related clerical role.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and experience with document management systems or databases (e.g., Accela, Salesforce) is highly desirable.
- Communication: Excellent written and verbal communication skills with the ability to interact professionally with diverse populations, elected officials, and staff.
- Organizational Ability: Exceptional attention to detail and the ability to manage multiple priorities and deadlines in a fast-paced environment.
- Integrity: Strong ethical judgment and a high level of discretion when handling sensitive information.
