Responsibilities
- Manage and maintain official city records, including ordinances, resolutions, and council minutes with the highest level of accuracy.
- Coordinate and prepare agendas for City Council and Commission meetings, ensuring all necessary materials are distributed in a timely manner.
- Administer the Texas Public Information Act (Open Records Act) by processing FOIA requests efficiently and professionally.
- Oversee the preparation and filing of all legal documents required by state and local laws.
- Act as the custodian of the City Charter and provide legal reference support to the City Manager and Department Heads.
- Manage the city's filing systems and ensure proper archiving of historical documents.
- Assist with the onboarding of new staff and the maintenance of departmental policies.
Qualifications
- High school diploma or GED required; Associate’s degree in Public Administration, Business, or a related field is preferred.
- Minimum of three (3) years of experience in municipal government, office administration, or records management is highly desirable.
- Proven experience in meeting coordination and agenda preparation.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and ability to learn specialized government software.
- Strong attention to detail and the ability to manage multiple priorities under strict deadlines.
- Excellent verbal and written communication skills with the ability to interact professionally with the public and city officials.
- Ability to maintain strict confidentiality regarding sensitive city information.
