Responsibilities
- Record Management: Oversee the maintenance, organization, and archiving of official city ordinances, resolutions, meeting minutes, and public records to ensure compliance with state and federal laws.
- Meeting Administration: Prepare, distribute, and maintain accurate records for City Council meetings, Board of Zoning Appeals, and other municipal committees.
- Public Relations: Serve as the primary point of contact for citizens and businesses seeking information, filing permits, or accessing public documents in a professional and courteous manner.
- Administrative Support: Coordinate logistics for city council sessions, including scheduling, room preparation, and providing support to the City Clerk’s Office staff.
- Compliance & Reporting: Ensure all municipal documentation is filed correctly with the Tennessee Secretary of State and adhere to strict confidentiality standards.
- Process Improvement: Identify opportunities to streamline filing systems and office workflows to enhance operational efficiency.
Qualifications
- Education: High School Diploma or GED equivalent required; an Associate’s degree in Public Administration, Business, or a related field is preferred.
- Experience: Minimum of 2-3 years of experience in an administrative role, records management, or municipal government operations.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with database management or record-keeping software (e.g., Accela, Tyler Technologies) is highly desirable.
- Communication: Excellent verbal and written communication skills with the ability to interact effectively with diverse populations and city officials.
- Attention to Detail: Strong organizational skills and the ability to manage multiple priorities while maintaining accuracy in high-pressure situations.
- Integrity: Demonstrated ability to handle sensitive information with strict confidentiality.
