Responsibilities
- Records Management: Oversee the creation, maintenance, and archiving of official city documents, ensuring compliance with state and federal regulations.
- Public Records Requests: Process Freedom of Information Act (FOIA) requests and public inquiries efficiently and accurately.
- Meeting Administration: Prepare agendas, minutes, and packets for City Council and Board meetings, ensuring all documentation is delivered on time.
- Customer Service: Serve as the primary point of contact for visitors and phone inquiries, providing professional and courteous assistance.
- Data Entry: Input and update data into the city’s internal database and document management systems with high precision.
- Document Preparation: Draft, format, and proofread correspondence, ordinances, and resolutions for legal accuracy.
- Office Operations: Maintain the clerk’s office filing systems and ensure office supplies are stocked and organized.
Qualifications
- Education: High School Diploma or GED required; Associate’s degree in Public Administration, Business, or Paralegal Studies is preferred.
- Experience: Minimum of 2 years of experience in an office environment, preferably within government or public administration.
- Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with document management software (e.g., SharePoint, Adobe Acrobat Pro).
- Communication: Excellent verbal and written communication skills with the ability to interact with diverse populations.
- Attention to Detail: Strong ability to maintain confidentiality and handle sensitive information with discretion.
- Work Ethic: Ability to work independently as well as part of a team, with a focus on accuracy and efficiency.
- Remote Readiness: Demonstrated ability to work remotely or in a hybrid capacity using secure VPN connections.
