Responsibilities
- Customer Service Support: Serve as the first point of contact for visitors and phone inquiries, providing accurate information and routing requests to the appropriate departments.
- Data Management: Perform routine data entry tasks to maintain up-to-date records, databases, and filing systems with a high degree of accuracy.
- Office Operations: Handle the processing of incoming mail, distribution of internal communications, and coordination of meeting spaces and logistics.
- Document Preparation: Draft, proofread, and prepare standard correspondence, reports, and memos using Microsoft Office Suite.
- Compliance Assistance: Assist in monitoring and maintaining compliance with state regulations and agency policies under the supervision of senior staff.
- Event Coordination: Support the planning and execution of internal and external government events, including registration and setup.
Qualifications
- Education: High school diploma or GED required; Associate’s degree or Bachelor’s degree in Public Administration, Business, or a related field is a plus but not mandatory.
- Experience: No prior professional experience required; however, demonstrated volunteer or academic experience is highly valued.
- Technical Skills: Basic proficiency in Microsoft Word, Excel, and email systems. Ability to learn new software quickly.
- Communication: Excellent verbal and written communication skills with the ability to interact professionally with diverse populations.
- Attention to Detail: Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
- Reliability: Must be able to pass a background check and possess a valid California Driver's License.
