Responsibilities
- Administrative Support: Provide high-level administrative support to agency leadership, including scheduling meetings, managing calendars, and preparing correspondence.
- Record Management: Maintain accurate and up-to-date electronic and physical records, ensuring strict compliance with state privacy laws and retention schedules.
- Customer Service: Serve as the primary point of contact for the public and internal staff, answering inquiries via phone, email, and in person with professionalism and courtesy.
- Data Entry & Analysis: Process and verify data entry tasks, generate reports, and assist in the analysis of program metrics to support decision-making processes.
- Compliance Assistance: Help monitor agency operations to ensure adherence to federal and state regulations, policies, and procedures.
- Communication Coordination: Coordinate inter-departmental communications and distribute internal memos and announcements efficiently.
- Special Projects: Assist in the planning and execution of special projects, events, and community outreach initiatives as assigned.
Qualifications
- Education: High School Diploma or GED equivalent required; Associate’s or Bachelor’s degree in Public Administration, Business, or a related field is preferred.
- Experience: No prior professional experience required; entry-level candidates are encouraged to apply.
- Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and basic computer navigation skills.
- Communication: Strong verbal and written communication skills with the ability to interact professionally with diverse stakeholders.
- Organization: Exceptional attention to detail and the ability to manage multiple tasks and prioritize effectively.
- Integrity: Demonstrated ability to maintain confidentiality and exercise sound judgment in a professional environment.
- Driver's License: Valid Florida Driver's License may be required for travel between offices.
