Key Responsibilities:
Responsibilities
- Manage complex calendars, coordinate meetings, and arrange domestic and international travel for senior leadership.
- Prepare, edit, and distribute high-level correspondence, reports, and briefing materials with a focus on accuracy and tone.
- Maintain the office filing system, ensuring strict compliance with federal record retention and privacy laws.
- Process incoming and outgoing mail, including sensitive and confidential information, with the highest level of discretion.
- Assist with Freedom of Information Act (FOIA) requests, gathering data and preparing responses.
- Track office supplies, equipment, and budgets to ensure resource optimization.
- Act as the point of contact for visitors and callers, providing exceptional customer service.
Qualifications
- Minimum of a Bachelor's degree in Public Administration, Business, or a related field (or equivalent federal experience).
- 3 to 5 years of administrative experience within a federal, state, or municipal government environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with case management software.
- Strong understanding of federal privacy laws, FOIA regulations, and general office procedures.
- Exceptional written and verbal communication skills with the ability to draft professional documents.
- Proven ability to manage multiple priorities and meet strict deadlines in a fast-paced setting.
- Certification as a Professional Secretary or similar is a plus.
