Responsibilities
- Office Management: Oversee daily office operations, manage inventory of office supplies, and coordinate facility maintenance to ensure a productive work environment.
- Correspondence: Draft, review, and distribute internal and external correspondence, including memos, reports, and official correspondence, ensuring adherence to federal guidelines.
- Scheduling: Manage complex calendars for senior officials, arrange meetings, and prepare briefing materials and agendas.
- Records Management: Maintain accurate and confidential electronic and physical records in compliance with the Federal Records Act and agency policies.
- Travel Coordination: Plan and coordinate domestic and international travel arrangements, including visas, itineraries, and per diem calculations.
- Program Support: Assist in the preparation of budget proposals, expense reports, and grant administration documentation.
Qualifications
- Citizenship: Must be a U.S. Citizen.
- Education: High School Diploma or GED. Associate’s degree or higher in Business Administration or a related field is preferred.
- Experience: Minimum of 3 years of progressively responsible administrative or clerical experience in a federal, state, or local government setting.
- Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with case management or Federal HR systems (e.g., iPay, eOPF) is highly desirable.
- Communication: Strong written and verbal communication skills with the ability to interact professionally with diverse stakeholders.
- Integrity: Ability to maintain strict confidentiality and adhere to government ethics regulations.
