Responsibilities
- Manage Weekend Operations: Oversee the intake, logging, and filing of government documents specifically for the weekend shift cycle to ensure no backlog occurs on Monday mornings.
- Data Integrity & Compliance: Maintain strict adherence to federal and state privacy regulations (HIPAA/GDPR) when handling sensitive citizen information and public records.
- Digital Archiving: Digitize physical files and update the central database systems using government-approved software to improve accessibility and retrieval times.
- Agency Liaison: Communicate with state agencies and internal departments to clarify document requirements and resolve discrepancies in real-time.
- Record Retrieval: Respond to public and internal requests for records within the mandated timeframe, ensuring accuracy and proper documentation of the request.
- System Maintenance: Perform routine quality assurance checks on the records management system to identify and correct data entry errors.
Qualifications
- Education: High School Diploma or GED required; Associate’s Degree in Public Administration or related field is highly preferred.
- Experience: Minimum of 2 years of experience in an administrative or records management role, preferably within a government or public sector environment.
- Schedule Availability: Must be available to work a weekend shift (Friday-Sunday or Saturday-Sunday rotation) on a regular basis.
- Technical Proficiency: Advanced proficiency in Microsoft Office Suite (Excel, Word, Outlook) and experience with database management software (e.g., Salesforce, Oracle) is required.
- Attention to Detail: Demonstrated ability to manage large volumes of data with a high degree of accuracy and confidentiality.
- Communication: Strong written and verbal communication skills for interacting with diverse stakeholders and the general public.
