Responsibilities
- Office Management: Oversee daily front-desk operations, manage incoming calls, and greet visitors with a professional and welcoming demeanor.
- Record Keeping: Maintain accurate and confidential electronic and physical filing systems for departmental records.
- Communication Support: Draft, proofread, and distribute memos, emails, and internal communications to ensure clear information flow.
- Event Coordination: Assist in the planning and logistics for city events, meetings, and community outreach programs.
- Data Entry: Input, update, and verify data into departmental databases and spreadsheets with a high degree of accuracy.
- Vendor Liaison: Handle basic correspondence with external vendors and service providers as directed by management.
- Compliance: Assist in ensuring that all administrative processes adhere to city policies and regulations.
Qualifications
- Education: High School Diploma or GED required; Associate’s degree or higher in Public Administration, Business, or a related field is preferred.
- Experience: Minimum of 1-2 years of professional administrative support experience.
- Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Communication: Excellent verbal and written communication skills with the ability to interact with diverse populations.
- Organization: Strong attention to detail and superior organizational skills with the ability to prioritize multiple tasks effectively.
- Availability: Ability to work a flexible schedule, including evenings or weekends as required for special events or projects.
