Responsibilities
- Front Desk Management: Greet visitors, answer multi-line phone systems, and direct inquiries to appropriate departments professionally.
- Record Keeping: Maintain accurate filing systems for personnel files, contracts, and public documents in compliance with city policies.
- Data Entry: Update and maintain internal databases and spreadsheets using Microsoft Office Suite with a high degree of accuracy.
- Mail Processing: Sort, distribute, and process incoming and outgoing mail and packages efficiently.
- Customer Assistance: Provide information regarding city services and assist the public with form submissions.
- Office Support: Prepare meeting rooms, order supplies, and assist with special projects as needed.
Qualifications
- Education: High school diploma or GED equivalent required.
- Experience: Minimum of 1-2 years of clerical or administrative experience preferred; government experience is a plus.
- Skills: Proficient in Microsoft Word, Excel, and Outlook; experience with databases (e.g., Salesforce, SAP) is highly desirable.
- Communication: Excellent verbal and written communication skills with the ability to interact with diverse populations.
- Organization: Strong attention to detail and the ability to prioritize tasks in a fast-paced environment.
- Availability: Must be available to work a flexible schedule, including occasional evenings or weekends, as required by the department.
