Responsibilities
- Manage and organize incoming correspondence, including mail, faxes, and electronic communications, ensuring timely distribution.
- Assist visitors and the public with inquiries regarding city services, policies, and procedures in a professional and courteous manner.
- Maintain accurate and confidential digital and physical records in compliance with government regulations and retention schedules.
- Prepare routine reports, memos, and presentations for departmental review and dissemination.
- Support the coordination of departmental meetings, including scheduling, minute-taking, and logistics.
- Perform data entry tasks with a high degree of accuracy to ensure the integrity of internal databases.
- Answer and route telephone calls, screening for priority matters when necessary.
Qualifications
- High School Diploma or GED equivalent required; an Associate’s degree or higher in Public Administration or Business is preferred.
- Minimum of 1 year of verifiable experience in an administrative or clerical role within a government or corporate environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Strong attention to detail with the ability to multi-task and prioritize tasks in a fast-paced environment.
- Excellent verbal and written communication skills, with the ability to interact effectively with diverse populations.
- Ability to maintain strict confidentiality regarding sensitive government information and personnel records.
- Valid California driver's license and access to a reliable vehicle (optional but preferred for site mobility).
