Responsibilities
- Office Management: Oversee the daily operations of the front office, including answering multi-line telephones and greeting visitors in a professional manner.
- Record Keeping: Maintain accurate and confidential electronic and paper filing systems for departmental records.
- Communication: Draft, proofread, and distribute correspondence, memos, reports, and newsletters.
- Data Entry: Input and update data into state databases with a high degree of accuracy and efficiency.
- Meeting Support: Schedule meetings, coordinate travel arrangements, and prepare meeting materials and agendas.
- Vendor Relations: Process invoices and maintain contact with external vendors as needed.
Qualifications
- Education: High School Diploma or GED required; Associate’s degree preferred.
- Experience: Minimum of 2 years of administrative support experience, preferably in a government or corporate office setting.
- Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and ability to learn new software quickly.
- Communication: Excellent verbal and written communication skills with the ability to interact with diverse populations.
- Organization: Strong time management skills and the ability to prioritize tasks effectively in a fast-paced environment.
