Responsibilities
- Oversee all municipal elections and voter registration processes with strict adherence to state and federal regulations
- Manage, preserve, and digitize critical city records including ordinances, resolutions, and historical documents
- Serve as the official custodian of the City Seal and authenticate official documents
- Coordinate with city departments to implement efficient records management systems
- Develop and maintain public-facing information portals for enhanced civic transparency
- Lead staff in providing exceptional constituent services and public inquiries
- Ensure compliance with Freedom of Information Act (FOIA) requests and open meetings laws
Qualifications
- Bachelor's degree in Public Administration, Political Science, or related field (Master's preferred)
- Minimum 5 years of municipal government experience with direct records management
- Expert knowledge of Illinois Election Code and municipal record-keeping regulations
- Advanced proficiency in records management software and document digitization systems
- Proven ability to manage complex projects with multiple stakeholders
- Illinois Notary Public certification required
- Exceptional written and verbal communication skills with diverse audiences
- Experience supervising teams and implementing process improvements
