Responsibilities
- Manage Archives: Organize, index, and maintain state records and archival documents according to federal and state regulations.
- Public Assistance: Assist researchers and government officials in locating and retrieving specific historical or operational records.
- Data Entry: Accurately input data into the state's centralized database systems using standard office software.
- Inventory Control: Conduct weekly audits of file storage areas to ensure all materials are accounted for and properly labeled.
- Equipment Maintenance: Perform routine cleaning and minor maintenance on scanning and filing equipment.
- Compliance: Adhere strictly to confidentiality agreements and privacy laws regarding sensitive government information.
- Shift Operations: Execute all standard clerical duties during assigned weekend shifts to ensure facility operations continue smoothly.
Qualifications
- Education: High School Diploma or GED required; Associate’s degree in History, Library Science, or Public Administration is a plus.
- Experience: Previous clerical experience in an office or records management environment is preferred.
- Computer Skills: Proficiency in Microsoft Office Suite (Word, Excel) and experience with database management systems.
- Availability: Must be available to work a full-time schedule including weekends (Saturday and Sunday).
- Attention to Detail: Strong ability to spot errors and maintain high accuracy in data processing.
- Communication: Excellent written and verbal communication skills for interacting with staff and the public.
- Physical Demands: Ability to lift and move boxes of records up to 25 pounds and stand for extended periods.
