Responsibilities
- Manage departmental calendars, scheduling appointments, and coordinating meetings
- Process invoices, expense reports, and purchase orders with weekly reconciliation
- Prepare and distribute weekly payroll documentation for 15+ team members
- Maintain digital and physical filing systems with strict confidentiality protocols
- Coordinate interdepartmental communications and document distribution
- Analyze operational data using Excel and generate weekly performance reports
- Support grant applications and compliance documentation for federal/state funding
Qualifications
- Associate's degree in Business Administration or related field (Bachelor's preferred)
- 3+ years administrative experience with weekly payroll processing
- Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint)
- Experience with state procurement systems (e.g., COMMBUYS)
- Strong attention to detail with ability to manage multiple deadlines
- Knowledge of Massachusetts public sector regulations
- Ability to obtain CORI/SORI clearance
- Valid Massachusetts driver's license (may be required for occasional off-site meetings)
