As the City Clerk, you will play a critical role in maintaining the integrity of city records and ensuring compliance with state and local regulations. You will lead a team of dedicated staff and collaborate with various city departments to ensure that the business of the city is conducted efficiently and transparently.
Responsibilities
- Manage and maintain official city records, including minutes, ordinances, resolutions, and contracts, ensuring compliance with the California Public Records Act.
- Prepare and distribute agendas for City Council meetings and other official boards, ensuring all required documentation is distributed accurately and on time.
- Supervise and coordinate the activities of the clerk’s office, including front desk operations, document processing, and staff training.
- Act as the official liaison for the City Council, providing administrative support, drafting correspondence, and maintaining a record of council actions.
- Oversee the preparation of official publications, such as the City Code, ordinances, and meeting summaries.
- Manage the City’s filing systems, ensuring they are secure, accessible, and up to date.
- Handle public inquiries regarding city records and procedures with professionalism and courtesy.
Qualifications
- Graduation from high school or possession of a GED equivalency certificate.
- A minimum of 3-5 years of progressively responsible experience in municipal government, public administration, or a related field.
- Thorough knowledge of California Government Codes and local municipal procedures is highly preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and experience with document management software.
- Strong verbal and written communication skills, with the ability to draft clear and concise correspondence.
- Excellent organizational and time management skills, with the ability to prioritize multiple tasks in a fast-paced environment.
- Ability to maintain strict confidentiality and exercise sound judgment in sensitive situations.
