Responsibilities
- Oversee municipal elections, voter registration, and ballot management in compliance with state/federal regulations
- Maintain official city records including ordinances, resolutions, and meeting minutes with meticulous accuracy
- Manage public records requests while balancing transparency and legal compliance requirements
- Administer oaths of office and serve as the custodian of the official city seal
- Coordinate with city departments to ensure consistent record-keeping protocols
- Process business licenses and municipal permits with efficient customer service
- Prepare agendas and support materials for City Council meetings
- Act as primary liaison for public inquiries regarding municipal procedures
Qualifications
- Bachelor's degree in Public Administration, Business Administration, or related field
- Minimum 3 years of municipal government or records management experience
- Proficiency in records management systems and document retention protocols
- Thorough knowledge of election law and municipal governance principles
- Exceptional written communication skills for official documentation
- Advanced proficiency in Microsoft Office Suite and record-keeping software
- Valid Illinois driver's license and ability to work occasional evening/weekend hours
- Notary Public certification preferred
