This position involves managing official records, overseeing elections, and coordinating high-level public meetings. You will serve as the primary advisor to the City Manager and Council on administrative matters, ensuring strict compliance with state regulations and city protocols.
Responsibilities
- Manage and preserve official city records, meeting minutes, and legislative archives in compliance with retention schedules.
- Oversee the administration of municipal elections, including voter registration, ballot preparation, and polling place coordination.
- Coordinate and schedule City Council meetings and board of directors sessions, ensuring full compliance with the Brown Act and open meeting laws.
- Act as the custodian of the City Seal and official signatures, attesting to documents as required.
- Prepare, distribute, and archive meeting agendas, reports, resolutions, and ordinances.
- Provide exceptional customer service to residents, businesses, and visiting officials regarding public records requests.
- Assist the City Manager and staff with special projects and administrative functions as needed.
Qualifications
- High school diploma or GED required; Bachelor’s degree in Public Administration, Political Science, or related field is preferred.
- Minimum of 2 years of experience in municipal administration, government operations, or a related clerical capacity.
- Working knowledge of the California Government Code, the Brown Act, and open meeting laws.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and record management software.
- Strong written and verbal communication skills with the ability to draft official correspondence and minutes.
- Ability to maintain the highest level of confidentiality and integrity when handling sensitive government information.
- Strong organizational skills with the ability to prioritize multiple deadlines in a fast-paced environment.
