Responsibilities
- Record Keeping: Maintain and archive all official City Council minutes, resolutions, ordinances, and contracts in accordance with state and federal retention schedules.
- Meeting Management: Prepare agendas, take official minutes, and coordinate logistics for all City Council and Board meetings.
- Public Records: Manage requests for public information, ensuring timely responses while adhering to the Tennessee Public Records Act.
- Bylaws & Policies: Ensure all city departments are aware of and compliant with current city ordinances and administrative policies.
- Election Support: Assist in the coordination of local elections, including voter registration drives and polling place logistics.
- Correspondence: Serve as the primary point of contact for incoming correspondence and official communications regarding the City Clerk's office.
- Administrative Support: Oversee the reception area and support other municipal departments with clerical duties as needed.
Qualifications
- Education: High School Diploma or GED required; Associate’s degree in Public Administration, Political Science, or a related field is preferred.
- Experience: Minimum of 2-3 years of experience in municipal government, administrative support, or records management.
- Skills: Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and experience with Records Management Software (e.g., ERMS) is highly desirable.
- Attributes: Exceptional organizational skills, high attention to detail, and the ability to maintain strict confidentiality.
- Communication: Strong written and verbal communication skills with the ability to interact professionally with the public, elected officials, and staff.
- Legal: Ability to obtain and maintain necessary security clearances and certifications.
