Responsibilities
- Records Management: Oversee the creation, maintenance, and preservation of official city records, including ordinances, resolutions, contracts, and meeting minutes.
- Commission Support: Prepare and distribute agendas for City Commission meetings; draft, edit, and certify official meeting minutes and resolutions.
- Public Relations: Serve as the primary point of contact for the public regarding city procedures, policies, and public records requests, ensuring adherence to the Florida Sunshine Law.
- Administrative Coordination: Coordinate the flow of information between department heads, the Mayor, and the City Commission to ensure timely decision-making.
- Filing Systems: Develop and maintain efficient filing systems and databases to ensure easy retrieval of information for staff and auditors.
- Document Control: Verify the accuracy and legality of all documents submitted for official action and ensure proper execution of legal instruments.
Qualifications
- Education: High school diploma or GED required; Associate’s degree in Public Administration, Paralegal Studies, or Business Management preferred.
- Experience: Minimum of 3-5 years of experience in office administration, records management, or a related government position.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and experience with records management software or document imaging systems.
- Knowledge: Strong understanding of municipal government operations, parliamentary procedure, and Florida public records laws.
- Attributes: Exceptional attention to detail, strong verbal and written communication skills, and the ability to maintain strict confidentiality.
