Responsibilities
- Record Management: Maintain and organize official city records, including minutes, ordinances, resolutions, and correspondence with strict adherence to retention schedules.
- Meeting Administration: Prepare, distribute, and archive agendas and minutes for City Council and Board of Zoning Appeals meetings.
- Public Records Requests: Process Freedom of Information Act (FOIA) requests efficiently and accurately while ensuring compliance with state and local regulations.
- Customer Service: Serve as the primary liaison for the public and staff, answering inquiries regarding city policies, procedures, and filing requirements.
- Data Entry: Perform high-volume data entry tasks using various office software and databases to update property records and departmental databases.
- Vendor Coordination: Oversee contracts for printing, mailing, and office supplies related to clerk operations.
Qualifications
- Education: High School Diploma or GED required; Associate’s degree in Public Administration, Business, or related field preferred.
- Experience: Minimum of 2 years of experience in an administrative or clerical role, preferably within a government or municipal setting.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with database management software.
- Communication: Excellent verbal and written communication skills with the ability to interact professionally with diverse populations.
- Attention to Detail: Demonstrated ability to maintain accuracy in high-volume data processing and complex record-keeping.
- Legal Knowledge: Basic understanding of public records laws and municipal procedures is a plus.
