Responsibilities
- Records Management: Oversee the creation, maintenance, and archiving of official city documents, meeting minutes, and legal filings with the utmost precision.
- Public Liaison: Act as the primary interface for the public and city officials, providing accurate information and assistance regarding city procedures.
- Document Preparation: Draft, proofread, and issue various official correspondence, including letters, reports, and proclamations.
- Meeting Coordination: Schedule and organize city council meetings, prepare agendas, and maintain accurate meeting records.
- Compliance & Confidentiality: Ensure strict adherence to federal and district privacy laws while safeguarding sensitive information.
- Administrative Support: Assist the City Manager’s office with special projects and ad-hoc clerical tasks as required.
Qualifications
- Education: High School Diploma or GED required; Associate’s degree or higher in Public Administration, Business, or a related field is preferred.
- Experience: Minimum of 2-3 years of experience in a clerical, administrative, or government office setting.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with records management software (e.g., Accela, Salesforce) is highly desirable.
- Communication: Excellent verbal and written communication skills with the ability to interact professionally with diverse populations.
- Attention to Detail: Demonstrated ability to manage complex data and maintain high standards of accuracy under tight deadlines.
- Availability: Ability to work flexible hours, including occasional evenings for public meetings.
