Responsibilities
- Oversee all official city records, minutes, and ordinances with meticulous attention to detail
- Manage public records requests, ensuring timely responses while maintaining legal compliance
- Administer municipal elections including ballot preparation, polling place coordination, and certification
- Serve as custodian of the city seal and attestation of official documents
- Coordinate City Council meetings including agenda preparation, public notices, and minute-taking
- Implement records retention policies and electronic document management systems
- Act as primary liaison between public officials and constituents regarding legislative processes
Qualifications
- Bachelor's degree in Public Administration, Political Science, or related field
- Minimum 3 years of municipal government or records management experience
- Arizona Notary Public certification or ability to obtain within 30 days
- Proficiency in records management software (e.g., Laserfiche, OnBase)
- Deep knowledge of Arizona Open Meeting Law and Public Records statutes
- Exceptional written communication skills for drafting official documents
- Ability to manage multiple high-priority projects with strict deadlines
- Experience coordinating municipal elections or public hearings
