Responsibilities
- Manage and maintain the official records of the City, including minutes, ordinances, resolutions, and contracts, ensuring compliance with state and federal regulations.
- Act as the primary liaison for the public, city officials, and outside agencies, providing accurate information regarding city procedures and services.
- Supervise and coordinate the work of support staff within the clerk's office, ensuring high standards of accuracy and efficiency.
- Prepare, publish, and distribute official notices, agendas, and meeting minutes for City Council and various boards and commissions.
- Process and verify various municipal licenses, permits, and registrations, ensuring all documentation is complete and accurate.
- Oversee the maintenance of the City's archives and historical records, implementing digitization initiatives where applicable.
- Perform other administrative duties as assigned to support the smooth operation of the department.
Qualifications
- High school diploma or GED required; Associate’s degree or Bachelor’s degree in Public Administration, Business, or a related field is preferred.
- Minimum of 3-5 years of experience in administrative or clerical roles, preferably within a government or municipal setting.
- Proven proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and experience with records management software.
- Strong verbal and written communication skills, with the ability to interact professionally with a diverse population.
- Exceptional attention to detail and the ability to manage multiple priorities in a fast-paced environment.
- Knowledge of local, state, and federal government regulations regarding public records is highly desirable.
- Ability to pass a background check and obtain necessary security clearances.
