Responsibilities
- Maintain and organize official city records, including minutes, ordinances, and resolutions, ensuring compliance with archival standards.
- Process and issue vital records such as birth certificates, death certificates, and marriage licenses to the public.
- Provide exceptional customer service by answering inquiries, assisting with permit applications, and directing citizens to appropriate departments.
- Manage Freedom of Information Act (FOIA) requests, ensuring timely and accurate responses.
- Assist in the coordination of municipal elections and voter registration drives within the district.
- Review and certify documents for accuracy and completeness before filing.
- Collaborate with city departments to ensure consistency in clerical procedures and administrative policies.
Qualifications
- High school diploma or GED required; Associate’s degree in Business Administration, Public Administration, or a related field is preferred.
- A minimum of 2-3 years of experience in an administrative, clerical, or customer service role within a government or public sector environment.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and ability to learn specialized municipal software.
- Strong verbal and written communication skills with the ability to interact professionally with diverse populations.
- Ability to maintain strict confidentiality regarding sensitive city and citizen information.
- Proven ability to prioritize tasks and manage time efficiently in a fast-paced environment.
- Valid Illinois Driver’s License is a plus.
