Responsibilities
- Records Management: Oversee the organization, storage, and retrieval of official city records, ensuring strict adherence to retention schedules and confidentiality protocols.
- Meeting Administration: Prepare and maintain accurate minutes for City Council and Board meetings, coordinate logistics, and ensure compliance with parliamentary procedures.
- Public Relations: Serve as the primary point of contact for the public, providing transparency regarding city ordinances, meeting agendas, and available services.
- Documentation: Draft, proofread, and issue official correspondence, proclamations, and legal documents with a high degree of accuracy.
- Compliance: Monitor and ensure all city departments adhere to local, state, and federal regulations regarding record-keeping and reporting.
- Vendor Coordination: Manage contracts and procurements related to office supplies and equipment necessary for the Clerk's office operations.
Qualifications
- Education: High School Diploma or GED required; Associate’s degree in Public Administration, Business, or Paralegal Studies is preferred.
- Experience: Minimum of 2-3 years of experience in an administrative role, preferably within a government or municipal setting.
- Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with database management systems.
- Attributes: Exceptional attention to detail, superior time management skills, and the ability to work under tight deadlines in a fast-paced environment.
- Communication: Strong verbal and written communication skills, with the ability to interact professionally with diverse stakeholders and the public.
