Responsibilities
- Record Management: Oversee the accurate recording, archiving, and retrieval of all city council minutes, ordinances, resolutions, and official correspondence.
- Public Assistance: Serve as the primary point of contact for the public and city officials, providing exceptional customer service regarding permits, records requests, and procedural inquiries.
- Meeting Coordination: Prepare and distribute meeting agendas, compile background materials, and maintain the official record of all City Council and committee meetings.
- Administrative Support: Draft, proofread, and distribute internal and external communications, including memos, press releases, and legal notices.
- Data Integrity: Manage complex databases and filing systems, ensuring compliance with state and local retention schedules and privacy regulations.
- Vendor Liaison: Coordinate with external vendors and departments to ensure the timely delivery of materials and services required for daily operations.
Qualifications
- Education: High school diploma or GED equivalent; an Associate’s degree in Public Administration, Business, or a related field is preferred.
- Experience: Minimum of 2-3 years of experience in administrative support, clerical work, or public sector administration.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with database management systems (e.g., Salesforce, Accela, or similar) is required.
- Communication: Excellent verbal and written communication skills with the ability to draft formal documents and interact professionally with diverse audiences.
- Organization: Strong attention to detail and the ability to manage multiple priorities and meet strict deadlines in a fast-paced environment.
- Integrity: Demonstrated ability to maintain confidentiality and exercise sound judgment in decision-making.
