Responsibilities
- Manage incoming inquiries from the public via phone, email, and in-person, directing them to the appropriate department.
- Perform accurate data entry and filing of official documents, ordinances, and records in compliance with city regulations.
- Assist in the preparation and distribution of meeting packets, agendas, and minutes for city council meetings.
- Maintain and update the office database to ensure information integrity and accessibility.
- Process applications, permits, and other official forms with a high degree of accuracy and attention to detail.
- Operate office equipment, including printers, scanners, and standard office machinery.
- Support senior staff with special projects and administrative tasks as assigned.
Qualifications
- High school diploma or GED equivalent required; Associate’s degree in Business Administration or Public Records is a plus.
- Minimum of 1-2 years of experience in an administrative or clerical role preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic computer navigation.
- Excellent verbal and written communication skills with a focus on customer service.
- Strong attention to detail and the ability to maintain strict confidentiality of sensitive information.
- Ability to work efficiently in a fast-paced environment and manage multiple priorities.
- Valid driver’s license may be required depending on departmental needs.
