Responsibilities
- Manage incoming and outgoing communications, including answering multi-line phones and responding to inquiries via email and mail with a professional demeanor.
- Perform general clerical duties, including filing, scanning documents, and maintaining accurate electronic and physical records in compliance with federal standards.
- Assist team members with data entry, report preparation, and scheduling meetings and conference calls.
- Coordinate office logistics, including tracking inventory, ordering supplies, and ensuring the workspace remains organized and functional.
- Greet visitors, direct them to the appropriate personnel, and provide general information about departmental functions.
- Prepare routine correspondence and memos as directed by senior staff.
Qualifications
- High school diploma or equivalent; some college coursework is preferred.
- Basic proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
- Strong attention to detail and the ability to multitask efficiently in a fast-paced environment.
- Excellent written and verbal communication skills.
- Ability to maintain strict confidentiality and adhere to government regulations and protocols.
- Must be eligible to obtain a government security clearance (if applicable for the specific division).
