Responsibilities
- Manage incoming correspondence, including emails, phone calls, and mail, with a high degree of professionalism and accuracy.
- Assist in the preparation of meeting agendas, minutes, and reports for department heads and committees.
- Perform data entry and maintain accurate digital and physical filing systems for public records and internal documents.
- Coordinate and schedule appointments and travel arrangements for senior staff members.
- Greet visitors and direct them to the appropriate personnel or department.
- Prepare standard documents and correspondence using word processing and spreadsheet software.
- Assist with special projects and ad-hoc administrative tasks as assigned by supervisors.
Qualifications
- High School Diploma or GED required; some college coursework in Public Administration, Business, or a related field is preferred.
- Previous administrative or customer service experience is a plus but not mandatory for entry-level candidates.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent verbal and written communication skills with the ability to interact effectively with the public and diverse internal teams.
- Strong attention to detail and the ability to manage multiple priorities in a fast-paced environment.
- Must be authorized to work in the United States.
