Responsibilities
- Office Management: Manage incoming communications, including phones, emails, and visitors, with a professional and courteous demeanor.
- Data Entry: Accurately input, verify, and maintain data in state databases and filing systems using Microsoft Office Suite.
- Document Processing: Prepare, organize, and distribute reports, memos, and correspondence for department heads and staff.
- Customer Service: Assist the public and state employees with inquiries regarding agency programs and procedures.
- Record Keeping: Maintain organized and secure physical and electronic filing systems in compliance with state regulations.
- Support Operations: Assist with scheduling meetings, ordering supplies, and coordinating inter-departmental projects.
Qualifications
- Education: High School Diploma or GED required; Associate’s degree or Bachelor’s degree in Business Administration, Public Administration, or related field is preferred.
- Experience: Previous office experience or an internship in a professional setting is a plus, but not mandatory for this entry-level position.
- Skills: Proficient in Microsoft Word, Excel, and Outlook; basic typing speed of 35+ WPM.
- Communication: Excellent verbal and written communication skills with the ability to interact effectively with diverse populations.
- Organization: Strong attention to detail and the ability to prioritize multiple tasks in a fast-paced environment.
- Requirements: Must be a U.S. citizen or permanent resident eligible for government employment.
