Responsibilities
- Manage and maintain accurate records of case files, documents, and correspondence using the city's electronic filing system.
- Process and distribute incoming mail, faxes, and emails to appropriate department staff and officials.
- Assist the public and attorneys with general inquiries regarding administrative hearings and department procedures.
- Prepare and format legal documents, summonses, and notices for review and filing.
- Schedule hearings and manage calendars for judges and administrative staff.
- Perform data entry tasks to update agency databases and generate weekly statistical reports.
- Ensure the confidentiality and security of sensitive government information at all times.
Qualifications
- High School Diploma or GED equivalent required; Associate’s or Bachelor’s degree in Public Administration, Business, or a related field is a plus.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with database management systems.
- Strong attention to detail with the ability to proofread documents for errors.
- Excellent written and verbal communication skills, with the ability to interact professionally with the public and government officials.
- Ability to work independently and as part of a collaborative team in a fast-paced environment.
- Must be a U.S. Citizen or eligible to work in the United States without sponsorship.
- Valid New York State driver's license is preferred but not mandatory.
