Responsibilities
- Manage complex calendars and schedule high-level meetings for agency leadership, ensuring all logistics are executed flawlessly.
- Process incoming correspondence, including Freedom of Information Act (FOIA) requests, with strict adherence to federal timelines and regulatory standards.
- Maintain accurate office records and filing systems in compliance with the National Archives and Records Administration (NARA) guidelines.
- Prepare and edit official documents, memos, and reports using MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Coordinate domestic and international travel arrangements, including visa processing and per diem calculations, for staff members.
- Assist in the preparation of budget reports, financial tracking spreadsheets, and procurement documentation.
- Serve as the primary point of contact for internal stakeholders and external vendors, resolving inquiries with professionalism.
Qualifications
- High school diploma or GED required; Associate’s degree or Bachelor’s degree in Business Administration or Public Administration preferred.
- Minimum of 2 years of progressive administrative experience in a federal, state, or corporate environment.
- Proficiency in MS Office Suite and ability to learn new software quickly.
- Strong understanding of federal record-keeping regulations and office management best practices.
- Exceptional written and verbal communication skills with impeccable grammar and editing abilities.
- Ability to maintain the highest level of confidentiality and handle sensitive information with discretion.
- Strong organizational skills with the ability to prioritize multiple tasks and meet tight deadlines.
