Responsibilities
- Manage high-volume incoming correspondence, emails, and phone inquiries, ensuring timely and accurate responses.
- Prepare, edit, and format a wide variety of federal documents, including reports, memos, and correspondence.
- Maintain and organize complex filing systems in compliance with VA record retention policies.
- Coordinate travel arrangements and meeting schedules for senior leadership, including venue booking and agenda preparation.
- Assist in the processing and tracking of forms, applications, and benefit requests to ensure regulatory compliance.
- Utilize the VA’s electronic record systems to update client information and track case statuses.
- Act as a point of contact for visitors and internal staff, providing excellent customer service and guidance.
Qualifications
- High school diploma or GED required; Associate’s degree in Business Administration or related field preferred.
- Minimum of 2 years of administrative experience in a government, healthcare, or corporate setting.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and VA-specific software (e.g., VISTA, ESHR).
- Strong understanding of federal privacy laws, record-keeping regulations, and office protocols.
- Excellent verbal and written communication skills with the ability to interact professionally with diverse populations.
- Ability to maintain confidentiality and handle sensitive information with discretion.
