Responsibilities
- Office Management: Oversee daily office operations, including managing office supplies, equipment maintenance, and facility coordination to ensure an efficient workspace.
- Document Control: Draft, proofread, and distribute high-level correspondence, reports, and memos in strict adherence to federal formatting and compliance standards.
- Scheduling & Coordination: Manage complex calendars for senior leadership, arrange travel itineraries, and coordinate meetings with internal teams and external government stakeholders.
- Record Keeping: Maintain accurate, up-to-date electronic and physical filing systems in compliance with federal record-retention policies.
- Compliance Support: Assist in preparing documentation for audits and ensure all administrative processes align with applicable federal regulations and agency guidelines.
- Vendor Liaison: Act as the primary point of contact for external vendors and service providers, managing contracts and service level agreements.
Qualifications
- Education: Bachelor’s degree in Business Administration, Public Administration, or a related field is preferred; High School diploma or GED with significant relevant experience will be considered.
- Experience: Minimum of 3-5 years of progressive administrative experience, preferably within the federal government or a defense contracting environment.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with case management software or ERP systems.
- Communication: Exceptional written and verbal communication skills with the ability to convey complex information clearly and concisely.
- Organization: Strong attention to detail and the ability to multitask effectively in a high-pressure setting.
- Security Clearance: Ability to obtain and maintain a suitable background investigation for government work.
