Responsibilities
- Oversee daily administrative operations, including mail distribution, filing, and supply management, ensuring strict adherence to federal retention schedules.
- Manage complex calendars for senior staff, scheduling meetings, arranging travel, and preparing briefing materials.
- Process and respond to Freedom of Information Act (FOIA) requests and internal inquiries with accuracy and confidentiality.
- Maintain accurate databases and digital records, utilizing SharePoint and other government-approved document management systems.
- Coordinate logistics for inter-agency meetings and public outreach events, including venue booking and catering arrangements.
- Assist in the preparation of reports, presentations, and correspondence for executive leadership.
- Ensure compliance with all applicable federal, state, and local laws and internal office policies.
Qualifications
- High School Diploma or GED required; Associate’s degree or Bachelor’s degree in Public Administration, Business, or a related field is preferred.
- A minimum of 2-3 years of experience in administrative support, preferably within a government or corporate environment.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and government-specific software (e.g., Adobe Acrobat Pro, SharePoint).
- Excellent verbal and written communication skills with the ability to draft professional correspondence.
- Exceptional organizational skills and the ability to prioritize tasks in a high-volume, deadline-driven setting.
- Ability to maintain strict confidentiality and exercise sound judgment in handling sensitive information.
- Must be a U.S. Citizen and eligible for government security clearance.
