Responsibilities
- Administrative Support: Manage high-volume correspondence, prepare official memos, and coordinate meetings for senior leadership.
- Records Management: Maintain accurate and confidential electronic and physical filing systems in compliance with federal retention schedules.
- Procurement Assistance: Support the procurement process by preparing purchase requests, tracking vendor contracts, and ensuring compliance with OMB Circulars.
- Compliance Monitoring: Monitor adherence to federal regulations, OPM policies, and agency procedures to mitigate risk and ensure operational excellence.
- Customer Service: Serve as the primary point of contact for internal and external stakeholders, providing clear and timely resolutions to inquiries.
- Reporting: Compile data and generate statistical reports to support management decision-making processes.
Qualifications
- Education: Bachelor’s degree in Public Administration, Business, or a related field is required. Equivalent combination of education and experience may be considered.
- Experience: Minimum of 3-5 years of experience in federal, state, or large-scale administrative support roles.
- Technical Skills: Proficiency with Microsoft Office Suite (Advanced Excel, PowerPoint, Outlook) and experience with federal HRIS or case management software.
- Regulatory Knowledge: Demonstrated understanding of federal procurement laws, OPM regulations, and the Federal Travel Regulation (FTR).
- Communication: Excellent written and verbal communication skills with the ability to draft clear, professional correspondence.
