Responsibilities
- Office Operations Management: Oversee the daily operations of the federal office, including mail, logistics, and vendor coordination to ensure a productive work environment.
- Correspondence & Communication: Draft, proofread, and distribute high-level correspondence, memoranda, and reports on behalf of agency leadership with strict adherence to protocol.
- Meeting & Travel Coordination: Schedule and coordinate high-profile meetings, conferences, and domestic and international travel arrangements, ensuring compliance with federal travel regulations.
- Records Management: Maintain accurate and confidential electronic and physical records in compliance with the Federal Records Act and agency-specific retention schedules.
- Personnel Support: Assist in processing personnel actions, time and attendance reporting, and onboarding for new federal employees.
- Budget Administration: Monitor and report on office supply expenditures and petty cash funds, ensuring fiscal responsibility.
Qualifications
- Citizenship Requirement: Must be a U.S. Citizen.
- Education: Bachelor’s degree in Public Administration, Business, or a related field; or an equivalent combination of education and experience (typically 3 years of administrative experience).
- Experience: Minimum of 3 years of progressive administrative experience in a fast-paced office environment. Federal government experience is highly preferred.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with government-specific case management or HR software (e.g., PeopleSoft, SAP).
- Communication: Exceptional written and verbal communication skills with the ability to draft clear, concise, and professional documents.
- Adaptability: Ability to handle sensitive information with absolute confidentiality and work effectively in a team-oriented environment.
- Clearance: Must be eligible to obtain and maintain a Secret Security Clearance.
