Responsibilities
- Manage High-Volume Inquiries: Serve as the primary point of contact for citizens and employees, responding to phone calls, emails, and in-person requests with professionalism and efficiency.
- Record Management: Maintain accurate and organized digital and physical records for departmental files, ensuring compliance with city retention policies.
- Data Entry & Reporting: Process a high volume of data entries into the City’s management systems, generating weekly and monthly reports for supervisors.
- Departmental Support: Assist senior staff with special projects, scheduling meetings, and preparing agendas for city council and committee meetings.
- Document Preparation: Draft, proofread, and finalize memos, letters, and official correspondence on behalf of the department.
- Compliance & Safety: Adhere to all local, state, and federal government regulations regarding public records and workplace safety.
Qualifications
- Education: High School Diploma or GED required; Associate’s degree in Public Administration, Business, or a related field is preferred.
- Experience: Minimum of 2 years of administrative experience in a government or corporate office environment.
- Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and experience with database management software.
- Communication: Exceptional verbal and written communication skills with the ability to interact with diverse populations.
- Attention to Detail: Strong ability to manage multiple priorities and maintain accuracy under tight deadlines.
- Background Check: Must be willing to undergo a standard background check and drug screening.
