Responsibilities
- Manage, organize, and maintain both physical and digital archives of government records according to strict state regulations and retention schedules.
- Process incoming correspondence, inquiries, and document requests from the public and internal stakeholders with high accuracy.
- Perform data entry and document digitization tasks using state-approved software and database systems.
- Assist in the preparation of reports and summaries by compiling data from various records and sources.
- Ensure the confidentiality and security of sensitive government information and personnel files.
- Coordinate with other departments to facilitate the retrieval and sharing of necessary documents.
- Maintain a clean and organized workspace to ensure efficient workflow and compliance with safety standards.
Qualifications
- High School Diploma or GED equivalent required; Associate’s degree or higher in Business Administration, Records Management, or a related field is preferred.
- Minimum of 1-2 years of experience in an administrative or clerical role, preferably within a government or corporate setting.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and experience with database management software (e.g., SharePoint, ERPs).
- Strong attention to detail with the ability to verify data accuracy and spot discrepancies.
- Excellent written and verbal communication skills for interacting with diverse populations.
- Ability to prioritize tasks effectively in a fast-paced environment and meet strict deadlines.
