Responsibilities
- Process, scan, and index incoming government correspondence and legal documents with a focus on accuracy.
- Maintain and organize the master filing system for city records, ensuring easy retrieval for staff and public.
- Verify the accuracy of data entered into digital databases and resolve any discrepancies immediately.
- Adhere to strict confidentiality protocols and security measures when handling sensitive government information.
- Assist in the physical arrangement and preservation of archived materials within the secure storage facility.
- Perform routine quality assurance checks on scanning equipment and output documents.
- Communicate effectively with daytime staff to transfer files and resolve urgent record requests.
Qualifications
- High School Diploma or GED is required; Associate's degree in Records Management or related field is a plus.
- Minimum of 2 years of experience in data entry, records management, or administrative support.
- Proven typing speed of at least 45 WPM with high accuracy.
- Must be available to work the night shift schedule (e.g., 10:00 PM – 6:00 AM).
- Strong attention to detail and organizational skills.
- Ability to pass a standard background check and security clearance for government employment.
- Proficiency with Microsoft Office Suite (Word, Excel) and document imaging software.
