Responsibilities
- Process incoming requests for public records, applications, and documents in an efficient and accurate manner.
- Scan, index, and digitize historical and current physical documents into the cityβs digital repository systems.
- Maintain and organize physical archives, ensuring proper filing, labeling, and storage according to established archival standards.
- Assist visitors and staff with inquiries regarding record availability, fees, and procedures.
- Verify the accuracy of data entry and ensure strict adherence to confidentiality and privacy laws (e.g., FOIL compliance).
- Perform basic data analysis and prepare summary reports for management when required.
Qualifications
- High School Diploma or GED equivalent required.
- Previous experience in a records management, library, or administrative support role preferred.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable learning new government software systems.
- Strong attention to detail with the ability to detect errors in data and documents.
- Excellent verbal and written communication skills for interacting with the public.
- Ability to lift and move boxes weighing up to 25 pounds and stand for extended periods.
- Must be eligible to work in the United States and pass a background check.
