Responsibilities
- Manage and organize complex filing systems, both physical and digital, ensuring strict confidentiality and compliance with state regulations.
- Process and prepare a high volume of incoming and outgoing correspondence, reports, and documents with a high degree of accuracy.
- Assist in the coordination of departmental meetings, including scheduling, preparing agendas, and taking detailed minutes.
- Provide general information to the public and internal staff via phone and email, directing inquiries to the appropriate personnel.
- Support grant management activities by compiling data and maintaining accurate financial and programmatic records.
- Perform data entry tasks using various database systems to update agency databases.
Qualifications
- High School Diploma or GED required; Associate's degree or prior administrative experience is preferred.
- Minimum of 1-2 years of experience in an administrative or office support role, preferably within a government or non-profit setting.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Strong attention to detail with the ability to prioritize tasks and meet tight deadlines in a fast-paced environment.
- Excellent verbal and written communication skills.
- Ability to maintain strict confidentiality regarding sensitive information.
- Valid driver's license and reliable transportation are required.
