Responsibilities
- Document Management: Receive, log, and organize incoming legal documents, subpoenas, and court filings with 100% accuracy.
- Public Assistance: Assist attorneys, litigants, and the general public with accessing public records and filing required forms.
- Database Maintenance: Update and maintain the county's digital case management system and physical filing cabinets.
- Fee Processing: Collect and process court fees, fines, and fines and forfeitures accurately using county software.
- Record Retrieval: Retrieve historical court records for judges and legal staff, ensuring compliance with privacy regulations.
- Office Operations: Answer multi-line phone systems, manage email inquiries, and maintain a professional reception area.
- Compliance: Adhere to all state and local laws regarding record retention and data privacy (e.g., HIPAA, state statutes).
Qualifications
- Education: High School Diploma or GED equivalent required; Associate's degree in Paralegal Studies or Business Administration is preferred.
- Experience: Previous experience in a legal office, courthouse, or administrative support role is strongly preferred.
- Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic typing speed of 45 WPM.
- Attention to Detail: Exceptional ability to proofread documents and maintain organized filing systems.
- Communication: Excellent verbal and written communication skills with the ability to interact professionally with diverse populations.
- Problem Solving: Ability to troubleshoot minor technical issues and adapt to changing office procedures quickly.
