- Records Management: Oversee the archiving, retrieval, and digitization of official city documents and public records in compliance with state regulations.
- Administrative Support: Prepare, proofread, and distribute correspondence, meeting minutes, and executive reports to city officials and departments.
- Public Access: Assist citizens, vendors, and staff in accessing information, maintaining transparency standards for city operations.
- Office Operations: Manage office supplies, coordinate scheduling, and ensure a welcoming, professional environment for all visitors.
- Data Integrity: Maintain accurate databases and filing systems using specialized government software and perform regular audits.
- Compliance: Ensure all clerical processes adhere to city policies, safety protocols, and accessibility standards.
Qualifications
- Education: High School Diploma or GED required; Associate’s degree in Business Administration or Paralegal studies is preferred.
- Experience: Minimum of 2-3 years of progressive experience in an administrative or clerical role within a government or corporate environment.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with document management systems (e.g., DocuWare, SharePoint).
- Attention to Detail: Exceptional proofreading and organizational skills with a zero-tolerance policy for errors in documentation.
- Communication: Strong verbal and written communication skills, capable of interacting professionally with diverse stakeholders and the public.
