Responsibilities
- Manage and maintain official city records, including ordinances, resolutions, and meeting minutes, ensuring accurate indexing and archiving.
- Prepare and distribute agendas, packets, and meeting materials for the City Council and various boards and commissions.
- Process and respond to public information requests in compliance with the Texas Open Records Act.
- Oversee the daily operations of the Clerk’s Office, including managing staff schedules and workflow.
- Verify and file legal documents, permits, and licenses with the appropriate state and federal agencies.
- Assist in the coordination of elections and voting procedures within the municipality.
- Maintain the City’s official seal and ensure proper execution of all legal documents.
Qualifications
- High School Diploma or GED required; Associate’s degree in Public Administration, Business, or Paralegal Studies preferred.
- Minimum of 3-5 years of experience in municipal government, legal administration, or records management.
- Proven experience in preparing meeting minutes and managing public records.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with records management software.
- Strong attention to detail with the ability to verify complex data accurately.
- Excellent written and verbal communication skills, with the ability to interact professionally with the public and elected officials.
- Ability to maintain strict confidentiality regarding sensitive government information.
