Responsibilities
- Manage and preserve all official city records, ordinances, and meeting minutes with meticulous attention to detail
- Oversee municipal elections, voter registration, and public information requests in compliance with state regulations
- Coordinate City Council agendas, legislative tracking, and public hearing documentation
- Administer oaths of office and notarial services for city officials and residents
- Lead digital transformation of records management systems and accessibility initiatives
- Serve as primary liaison between city departments, elected officials, and the public
- Ensure compliance with Illinois Municipal Code and Freedom of Information Act requirements
Qualifications
- Bachelor's degree in Public Administration, Business, or related field (Master's preferred)
- Minimum 5 years experience in municipal governance, records management, or public service
- Expertise in Illinois election law, FOIA procedures, and municipal record retention policies
- Proficiency with document management systems (e.g., Laserfiche, SharePoint) and digital archiving
- Exceptional organizational skills with ability to manage high-volume deadlines
- Strong written/verbal communication skills for public-facing interactions
- Valid Illinois driver's license and ability to work flexible hours including evenings/weekends
